All food, beverage, guest count and function details must be provided in order to calculate the cost of the event.
The Birches Catering is a full service caterer, and for that reason does not allow outside catering in the venues.
Guarantees For Food And Beverage
Seven days prior to arrival, a final guarantee of number of persons for food and beverage must be provided. This guarantee (or attendance, whichever is greater) will be billed to your account.
The Latvian centre has the right to refuse service to any guest who appears to be intoxicated, or under the age of majority.
Audio Visual Equipment
We are please to provide audio visual equipment for your function. Please discuss your requirements with our catering manager.
Taxes And Gratuities
Food, beverage and alcohol prices are subject to 13% HST and a 15% Service Charge.
Upon acceptance of the contact and in order to confirm your event a 50% deposit of the total amount and a signed contract is required. The contract will be given to you with details of your event. For weddings and large events the balance of the total contract fee must be received 4 weeks prior to the event date. Four weeks prior to the event a security deposit is required for social functions. For other social events, the outstanding balance is required 48 hours prior to the event Payment can be made by VISA, MasterCard, cash, certified cheque, personal cheque or money order.
If you book less than 4 weeks prior to your event full payment, a signed contract and the security deposit will be required at the time of booking.
A security deposit of $300 is required for social functions. Security deposits are required at least 4 weeks prior to your event and will be released within 3 weeks after your event providing no damages or extra cleanup services have been addressed and that all payments have been received.
In the event of cancellation, a written notice of cancellation is required. Please mail, fax or hand delivered. E-mail cancellations are not accepted unless confirmed by phone.
If a cancellation notice is not received 30 days prior to the event the full amount of the contract is due immediately.
In the event of cancellation more than three months prior to the function date, an administration fee of $300.00 plus the room rental fee will be charged.
In the event of cancellation between three months and 4 weeks of the function date, the deposit will not be refunded.
In the event of cancellation less than 4 weeks prior to the function date, a cancellation fee equal to the full value of the contract will be charged.
Access to your event space is permitted only after full payment is made and a signed copy of the contract is received by the office. Access to your venue space is specified in your contract. Early access fees may apply, please inquire with the main office. Late fees apply if your party or your properties are in the rental space past the rental time specified in your contract.
Due to limited storage space, we cannot always guarantee space for early delivery of materials. Refrigeration may not be guaranteed. Those items being delivered must be clearly marked with event title, contact name and address. Materials must be removed for the Latvian Centre on the last day of the event. The Latvian Centre will not be responsible for damages or loss of any items left on the premises prior to, during or following the event. A charge will apply depending on the individual storage needs and availability.
The Latvian Canadian Cultural Centre has staff on-site at all times during public hours and private event hours. An additional fee is charged for staffing outside of your contracted event time. The LCCC reserves the right to require additional staff to be on hand for functions at the expense of the client. If building staff are required to control guests or mange any aspect of the private function an extra fee may be charged at $25 per hour, per person. The LCCC reserves the right to evacuate person(s) from the building in the event of an emergency or for security purposes.
